An AI project brief: define the task before choosing the tool
A practical AI enquiry describes the work, the information it uses and the result a person needs to review. A small, testable scope is a useful starting point.

Describe the current task
Choose one recurring task, such as organising product enquiries, preparing a first draft from approved information or collecting the status of a purchasing list. Explain who does it today, how often it occurs and where the work begins and ends.
Give one representative example using public or suitably redacted information. Describe the current difficulty in observable terms: repeated retyping, inconsistent formats, missing fields or time spent gathering information. Avoid starting with an undefined promise to automate everything.
Identify the inputs and access boundaries
List the files, approved knowledge and systems the task needs. State who owns the information and which actions would only read it, create a draft or change an external system. Passwords and access tokens are not part of an initial project brief.
Use dummy or redacted examples for the first discussion. Any later access should be limited to the agreed work and arranged through the appropriate account controls. A useful design explains where a person remains responsible for review and external actions.
Define a result that can be checked
Specify the output format, required fields and examples of acceptable results. Add difficult cases: missing information, conflicting references, an unavailable source or a request outside the agreed scope. Decide how these should be flagged rather than silently filled in.
For an initial trial, agree a representative set of cases and a way to compare the output with the expected result. Success should be demonstrated on that task; a working demonstration is different from an approved production workflow.
Agree delivery, operation and handover
A project proposal should identify the deliverables, systems involved, review points, estimated schedule and the assumptions behind the quotation. Clarify who will operate the tool, how changes will be handled and what ongoing support is included, if any.
Cloudstar accepts enquiries about AI assistants, workflow automation and custom digital tools. Send the task, current process, redacted example and desired result to business@cloudstar-jc.com. Feasibility, access, deliverables and terms are reviewed before the project proceeds.
